This beta guide explains how to take an APC submission from candidate documents through compliance review to a tailored assessor question bank.

The basic journey

Add all three required documents, continue to Compliance, then move to Questions when the submission is ready. Each candidate page shows which of the three stages you are in and the next action to take.

Signing in and the dashboard

Sign in with the individual account details supplied for the beta. The dashboard lists the candidate records available to your account.

If an administrator created your beta account, use the temporary password in your invitation. You will be asked to choose your own password before continuing. You can change it again at any time using Change password beside your name.

Select an existing candidate from the dashboard or use Add candidate details to create one. If you cannot sign in or need help resetting a password during the controlled beta, contact the beta administrator.

Documents → Compliance → Questions

Every candidate has a three-stage progress bar: 1 Documents, 2 Compliance and 3 Questions.

Documents holds the current submission. Compliance checks whether it is ready for assessment. Questions creates and displays the assessor question bank.

The current stage is highlighted and a short message explains what to do next. When a stage is complete, use the prominent Continue button rather than searching through the navigation.

Uploading and replacing documents

Upload the Final Submission, Summary of Experience (SoE) and Case Study. The page shows how many of the three required documents are available.

Uploading includes extracting and checking the document. A working message remains visible while this completes. Keep the page open until the upload confirms that the document has been added.

When a document is replaced, the newest version becomes the current version. Earlier copies remain in version history. You can open either the stored original or the extracted text.

An optional Case Study Presentation PDF can be added as extra context for the question bank. It is not part of the compliance check.

Once all three required documents are ready, select Continue to Compliance.

Reviewing compliance

Compliance checks the candidate's pathway choices, required documents, competency levels and written evidence progression against the applicable RICS assessment requirements.

Document analysis may still be completing when you first arrive. A blue working panel confirms that checks are running, and the page refreshes automatically. No action is needed while that message is showing.

The summary is presented in three parts:

  • Assessment requirements — pathway structure and declared competency levels.
  • Submission completeness — required documents and submission checks.
  • Evidence quality — areas of written evidence that may deserve assessor attention.

The competency tables show the required level, declared level, evidence levels found and whether written evidence has been identified. Where the evidence is not clear enough to match confidently, the row is marked for review so the assessor can decide.

When the required compliance checks pass, select Continue to Questions. If review is needed, follow the highlighted findings or return to Documents to replace the relevant file.

Generating the question bank

If no current question bank exists, start generation from the Questions stage. Questions are based on the candidate's applicable RICS requirements and the experience recorded in their submission.

Generation is progressive and can take several minutes. Completed questions appear as they become available, grouped Mandatory → Core → Optional. The cards shown during generation are the same cards that remain when the bank is complete, so there is no final change of layout.

Keep the page open while the progress display is active. If a competency reports a problem, use the retry option shown for that competency.

If the candidate's current documents change, the Questions stage may offer regeneration so the active bank reflects the latest submission.

Reviewing the questions

The competency menu follows the assessment structure and can be scrolled independently on desktop. Select a competency to review its questions without losing your place.

Each card shows the question level, question, rationale and assessor pointers. Questions may draw on the candidate's documented experience to test knowledge, application, advice, judgement and reasoning at the appropriate level.

Written evidence quality is shown separately as Weak, OK, Good or Not located, with a short summary where available. It is an assessor prioritisation aid: it helps identify where limited interview time may deserve greater attention. It does not change the questions.

If a source document has changed since a question was created, the card is clearly flagged for review. Question rationale and assessor pointers are preparation aids, not a script or a substitute for professional judgement.

Marking a question unsuitable

A suitable question needs no action. If a question should not remain in the bank, select Question unsuitable.

Choose one or more reasons, such as wrong level, too generic, too easy, poor wording, repetition, weak connection to the candidate's evidence, or a factual or professional concern. You may add a comment, but it is optional.

Select Reject and replace. A new question is created at the same level, taking account of the reason you selected, the candidate's evidence and the other questions already in the bank. This helps avoid repeating the same problem or creating an overlapping question.

The original question remains visible until its replacement has been safely added. If replacement cannot complete, the rejection is retained and the card offers Retry replacement. You can also withdraw the rejection while the original remains.

In short: Documents prepares the current submission; Compliance confirms readiness; Questions provides a candidate-specific question bank for the assessor to review.
